Who it's for: Procurement, quality and supply-chain teams onboarding or re-approving suppliers.
Company & compliance
- Is the supplier legally registered, with current registration documents available?
- Does the supplier hold the certifications they claim (e.g. ISO 9001), with valid certificates?
- Does the supplier have adequate insurance cover for the goods or services supplied?
- Has the supplier disclosed any legal disputes, recalls or regulatory actions in the last 3 years?
Quality management
- Is there a documented quality policy approved by management?
- Are incoming materials inspected and the results recorded?
- Are non-conforming products identified, segregated and recorded?
- Is there a documented process for corrective and preventive actions?
Capacity & continuity
- Can the supplier demonstrate capacity to meet your forecast volumes?
- Is there a business continuity plan covering key sites and suppliers?
- Are critical sub-suppliers identified and approved?
- Are lead times and on-time delivery performance tracked?
Ethics & sustainability
- Does the supplier have a code of conduct covering labour and human rights?
- Are working hours, wages and age of workers verified against local law?
- Is there an anti-bribery and corruption policy?
- Does the supplier measure its environmental impact (energy, waste, emissions)?
For each answer, record a short reason and attach supporting evidence (certificates, logs, photos) where available. These questions reflect general good practice; adapt them to the standards and laws that apply to you.
